1. Who we are
VATVault is provided by Hendrik Malan ("we", "us"). By creating an account you are entering into an agreement with Hendrik Malan.
2. Acceptance
By accessing or continuing to use VATVault you agree to these Terms. If you do not agree, do not use the service. You confirm you are of legal age, or that you have authority to bind the organisation you represent.
3. The service
VATVault is a web application for storing receipts and invoices, extracting VAT information, creating invoices and exporting VAT reports. Subject to these Terms and your plan, we grant you a limited, non-exclusive, non-transferable right to use the service.
4. Your account
You must provide accurate information, keep it up to date and keep your login credentials confidential. You are responsible for all activity under your account.
5. Acceptable use
You must not misuse the service, including:
- using it for any unlawful purpose, including tax fraud or falsifying records;
- sending spam or engaging in fraudulent activity;
- uploading content that infringes anyone's intellectual property;
- interfering with security, introducing malware, probing, scraping or reverse engineering the service;
- reselling or redistributing the service or circumventing technical limits.
6. Your content
You keep ownership of documents and data you upload. You grant us a limited licence to host and process that content solely to provide the service to you.
7. Intellectual property
We retain all rights in the service, including its software, documentation and branding.
8. AI-extracted information
VAT figures and other details extracted automatically may be inaccurate. You are responsible for checking them before submitting any tax return. VATVault does not provide tax, legal or accounting advice.
9. Payments and subscriptions
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
Payment, billing, taxes, renewals, cancellations and refunds are governed by Paddle's Buyer Terms. See also our Refund Policy and Pricing.
10. Service availability
We work to keep VATVault available, but we do not guarantee that it will be uninterrupted or error-free. The service is provided "as is" and, to the fullest extent permitted by law, we disclaim all implied warranties, including merchantability and fitness for a particular purpose.
11. Suspension and termination
We may suspend or terminate your access for material breach of these Terms, non-payment, security or fraud risk, or repeated or serious policy violations. You may stop using the service and cancel at any time. After termination you may request an export of your data within 30 days, after which it may be deleted.
12. Liability
To the extent permitted by law, we are not liable for indirect or consequential losses, including loss of profits, data or goodwill, and our total liability is limited to the fees you paid in the 12 months before the claim. Nothing limits liability for fraud, death or personal injury where the law does not allow it.
13. Changes
We may update these Terms. Continued use after changes take effect means you accept them.
